The Details...

The Problem:

Flossy reached out to Good Team hoping to run a HubSpot Audit of their portal. They had worked with several HubSpot Partners and were running into a “too many cooks in the kitchen” situation. While the past HubSpot Admins had created systems that solved for specific issues at the time, the portal as a whole was having some organization and data issues. Specifically with Custom Objects.

Good Team's Answer:

Because Flossy served two different customers at the same time (Dentists and Patients) we had to find a way to organize Dentist data and Patient data that was easy for all their teams to use. From Sales to Account Management to Customer Service we had to take a step back and reorganize their object structure. They were using a different custom object for Dentist, Patients, and Appointments while also trying to associate the HubSpot Contact, Company, Deal, and Ticket Objects.

The Method:

The first thing we did was sit down with all teams and understand their ideal use of HubSpot. We mapped everything out in Figma and got approval from all teams, then the fun began. We turned off anything that was custom built and mapped all data from Dentist and Patient Objects over to HubSpot’s Company (Dentist) and Contact (Patient) Objects. We deleted the bad objects and data and rebuilt workflows, templates, reports, etc. The whole project took about 8 months and their portal went from a Customer Service ticket management software to a Sales, Account Management, and Customer Sercive machine.

Client went from:

  • A system that worked for one team
  • Disorganized Data
  • Using only one Hub

Now the Client:

  • Has the full company using HubSpot
  • An Object structure that worked for Flossy and HubSpot
  • Using all Hubs at the Enterprise level

 

The Result

What are the benefits since working with Good Team?

Flossy was able to incorporate a digital system for both sides of their business, for Patients and Dentists.

On the Patient side; they were able to start finding new Patients, booking appointments, and personalizing their follow up all in HubSpot. Internally, they were able to manage several Sales and Account Managment representatives and report on their success - giving management the ability to make data-driven decisions.

On the Dentist side; they were able to connect with new Dentists, Office Managers, and Branches to grow their startup while tracking success for investors. The new system allowed for Dentists to be associated to Patients in a way that the Flossy team and HubSpot understood so reports were customizable and accurate.

Good Team was not the first HubSpot admin to be in the Flossy portal, but with the new system Flossy is confident we will be the last.
